AMOOMI - General Secretary
Department Responsibilities
- Managing all administration, including sending and receiving reports and correspondence from Majalis and Regions.
- Maintaining Ansar offices in the Regions and Majlis.
- Arranging Amila meetings, recording minutes, and distributing approved minutes and agenda.
- Collecting reports from all departments and preparing a monthly report for the Markaz.
- Maintaining records for all departmental reports.
Support Provided by the Amoomi Department
- Approval or change of the local or regional body (Amila) must be submitted to Qa’id Amoomi for Sadr Majlis’s approval.
- Issues in the monthly reporting system should be communicated to Qa’id Amoomi for resolution.
- For guidance on local Amila or general body meetings, Qa’id Amoomi should be contacted.
- Local or regional issues should be reported to Qa’id Amoomi for proper resolution.
- Any matter requiring attention from Sadr Majlis or National Amila should be communicated to Qa’id Amoomi.
General Guidelines for Zoama and Muntazimeen
- Organize a minimum of two Amila meetings every month.
- Organize at least one General meeting every month.
- Provide at least two weeks’ notice for general meetings.
- Ensure a prefixed agenda is distributed before the meeting.
- Record and maintain minutes of Amila meetings.
- Inform and remind all Ansar members about General Meetings through phone calls, emails, or texts.
- Use the Saiqeen system to contact Ansar members, distributing responsibility among Amila members.
- Send personalized letters with the meeting agenda.
- Make meetings engaging by selecting discussion topics from books or Hadith.
- Arrange for light refreshments.
- Set a fixed date and time for meetings (e.g., 2nd Wednesday of every month at 7 PM).
- Be patient and consistent, as results take time. Success comes with prayers, love, and understanding.
- Ensure meetings are result-oriented.
